Congratulations on the acceptance of your abstract to the SB3C! Please review the following instructions as you prepare for your presentation.
All presentations must reflect the material summarized in your submitted abstract.
General Guidelines
General Session Presentations
Please arrive at your session room 15-20 minutes prior to the start of the session. Presentations will be viewed from your personal laptop. Laser pointers will NOT be provided for presenters. Additional video cables and a projector will be provided (XGA Projector, HDMI interface cable, 120V US power strip).
- Mac users should provide their own video adaptor to HDMI.
- Please bring a backup copy of your presentation on a USB-A flash drive.
- Aspect ratio of screens will be 16:9 in all rooms.
IMPORTANT: Remember that in most instances you will need to copy any movies or media in the file folder containing your presentation. If you do not have a laptop, please bring your presentation on a USB-A flash drive to transfer to one of the other presenters’ laptops.
Speaker Practice and Preparation
Session rooms will be available outside of scheduled meeting times. Speakers are encouraged to test their presentations in the appropriate room prior to their presentations. There will not be a designated speaker ready room.
PhD-level Student Paper Competition Presentations
The session times for PhD-level SPC podium presentations are on Thursday, June 13, 2024 from 11:00am – 12:30pm. The lead student author must be in attendance to give the podium presentation. No substitutions of any kind will be allowed within the competition. Please notify the Student Paper Competition organizers immediately if the student author cannot attend.
The PhD competition presentations are, like all SB3C presentations, strictly limited to 12 minutes with 3 minutes for questions. This time limit will be strictly enforced. Session Co-Chairs will give a warning at 10 minutes and cut off presentations at 12 minutes. Note that the answering of questions is a critical factor in judging, and that speaking beyond the 12-minute cut-off will affect the student’s score.
On-site judges will view each presentation to evaluate both the slides and the delivery. Judges will not be known to presenters and possibly not even to each other. Final overall scores to determine the winners are based 25% on the written abstract and 75% on the podium presentation. More specific details will be forwarded via email to all participants prior to the conference.
UG Design Competition Presentations
The UG Design competition podium presentations will be delivered on Friday, June 14, 2024 at 10:00 am – 11:30 am. At least one team member must be in attendance to give the podium presentation. Substitutions of any kind will not be allowed within the competition. Please notify the organizer (Anita Singh, anitausingh@gmail.com) immediately if any team cannot attend and present in-person.
The UG Design competition presentations are, like all SB3C presentations, strictly limited to 12 minutes with 3 additional minutes for questions. This time limit will be strictly enforced. Session Co-Chairs will give a warning at 10 minutes and cut off presentations at 12 minutes. Note that the answering of questions is a critical factor in judging, and that the speaking beyond the 12 minute cut-off will affect the team’s score.
On-site judges will view each presentation anonymously. Judges will not be known to presenters and possibly not even to each other. Details on the final overall scoring rubric will be forwarded via email to all participants prior to the conference. General Session Posters
Poster Session I will be held on Wednesday, June 12th from 1:00pm – 2:30pm. Poster Session II will be held on Thursday, June 13th, 12:30pm – 2:00pm. Information on your poster presentation time can be found in the program book and on the Whova app. Authors are invited to stand by their posters at any time, but are requested to do so during the assigned session.
BS-level and MS-level Student Paper Competition Posters
Poster presentations for the BS-level SPC will be held during the scheduled poster session on Wednesday and for the MS-level SPC during the scheduled poster session on Thursday. Presenters should plan to present their posters throughout the entire session (beginning at 1:00 pm on Wednesday, or 12:30 pm on Thursday). In addition to this block of time, presenters may choose to stand by the poster during other scheduled breaks.
Posters must adhere to the guidelines for size and setup as outlined above.
The presenter should be prepared to give a short (3-5 minute) summary of the research. The lead student author (BS or MS) must be in attendance to present the poster. Substitutions of any kind will not be allowed within the competition. Please notify the student paper competition organizers immediately if the student author cannot attend. In the event of any conflicts for the lead author, other authors are welcome to present the work; however, those posters will be excluded from the student paper competition.
On-site judges will visit each participating poster anonymously during the poster session to evaluate both the poster and the presentation. Judges will not be known to presenters, and possibly not even to each other. Final overall scores to determine the winners are based 25% on the written abstract and 75% on the poster presentation. More specific details will be forwarded via email to all participants prior to the conference.
Prospective Faculty Poster Session
The Prospective Faculty Poster Session will be held on Wednesday, June 12, 2024 from 5:15 pm – 6:15 pm. The maximum allowable poster size is 42 inches horizontal by 42 inches vertical.
